Photo & Video Policy

The Stingerz JFC recognises that photos and videos can be a great way to celebrate players, teams and club events. We are committed to using images responsibly and in a way that supports safeguarding and respects family preferences.

Purpose

Photos and videos may be used for purposes such as:

  • Celebrating team and club achievements
  • Sharing club updates with families
  • Promoting the club (for example, website or social media)
  • Recording club events and activities

Consent

We use parent/guardian consent preferences to manage whether a child may appear in photos or videos used by the club.

Consent choices may be collected as part of membership, registration or separate photo/video consent forms.

Parents/guardians can contact the club to ask questions or request changes to their consent preferences.

How we use images and videos

Where consent is given, images/videos may be used on:

  • The club website
  • Club social media pages
  • Club newsletters/updates
  • Club posters/flyers or promotional materials

Player identification

We aim to reduce risk by limiting personal information shared alongside images/videos of children.

As a general rule, we recommend using:

  • First name only (if needed), or
  • No names alongside photos/videos of children

We avoid sharing unnecessary personal details.

Parent/guardian and spectator filming

Parents/guardians and spectators may take photos/videos for personal family use, but we ask everyone to:

  • Respect the privacy and wishes of other children and families
  • Avoid sharing images/videos publicly if consent is not known
  • Follow any club or venue instructions about photography/filming
  • Raise any concerns with a coach or club official

Concerns about an image or video

If a parent/guardian has concerns about an image or video used by the club, they should contact us as soon as possible and we will review the concern promptly.

Storage and access

We take reasonable steps to ensure that club-used images/videos are only accessed by authorised club personnel where required and are handled responsibly.

Policy review

This policy may be updated from time to time to reflect changes in club practice or safeguarding guidance.
